Title: Storage Project Site Supervisor

Shift: On-Location

Reports To: COO/Project Manager

Experience:

  • High school diploma and/or GED required, some college preferred
  • 2+ years’ experience managing market rate projects (Storage preferred)
  • Excellent ability to communicate effectively with all levels of organization and customers/vendors
  • Organizational skills to handle multiple subcontractors simultaneously
  • Ability to work in a time-sensitive role, where tasks must be addressed when received.
  • Strong working knowledge of Google Docs and MS Office including Word, Excel, Outlook, and PowerPoint
  • Familiarity with IBC 
  • Bi-lingual in English and Spanish, a plus

Essential Duties and Responsibilities

  • Handle subcontractor interaction – incoming/outgoing calls, messages, emails, notices, etc.
  • Perform annual and interim recertifications in a timely fashion
  • Follow up on discrepancies and resolve all issues within 7 days
  • Follow up on outstanding third-party verifications within 30 days
  • Communicate effectively with on-site workers daily safety briefings
  • Perform daily site checks to all common interiors and grounds
  • Perform daily logs and reports 
  • Maintain the property within safety regulations and team guidelines
  • Maintain organization of property files within IBC regulations 
  • Effectively manage the site construction logs
  • Work closely with material long-lead items for timely results and follow up
  • Work with project management for timely notification on upcoming material needs
  • Coordinating schedule for labor needs with Construction team
  • Timely follow up on subcontractor staff and procedures
  • Continually increase project performance and lower operating expenses
  • Timely completion of job duties
  • Attend business meetings and trainings as required
  • Daily opening and securing of job site
  • Perform other administrative tasks and special projects as assigned

  • Ability to perform accurate data entry within specified time frames
  • Ability to perform tasks in the MS Office Suite (Word, Excel, PowerPoint)

Title: Executive Assistant

Shift: On-Location

Reports To: CEO/COO/CFO

Experience:

  • Bachelor’s degree (B.A.) from four-year college or university; or five years related office management/executive assistant experience
  • Working knowledge of social media and content marketing 
  • Strong working knowledge of Google Docs and MS Office including Word, Excel, Outlook, and PowerPoint

Essential Duties and Responsibilities:

  • Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image 
  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities 
  • Negotiates the purchase of office/kitchen supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions
  • Provide administrative support to the CEO, COO and CFO as needed.
  • Coordinate travel, transport and accommodations for the team
  • Approve bills/invoices for credit cards from suppliers/vendors
  • Shop and run errands for office
  • Responsible for mail, faxes, shipments and answering all calls in office 
  • Ship/mail items via US Post Office and/or FedEx, UPS
  • Schedule meetings and/or appointments/create and approve agendas 
  • Organization of company events and conferences
  • Perform data entry as assigned
  • Greet and register all visitors; contact appropriate employees for visitors as required
  • Maintain the inventory and cleanliness of the office / kitchen areas
  • Perform social media and content marketing activities 
  • Respond to phone calls and e-mails in a timely fashion
  • Willing to learn the industry and help us maintain and grow our marketplace position 
  • Attend business meetings and trainings as required
  • Perform other administrative tasks and special projects as assigned
